[Solved] Trying to get my head around membership management in Club treasurer
I have been using CT for a while now for one club purely for financial management. I have now become treasurer of a different organisation and because of my liking for CT have set that club on CT as well but I want to use it for membership management for the new club.
The new organisation is not an individual membership set up, it is for sports clubs and organisations that affiliate to us, we are a district volunteer body working in conjunction with the local county council providing courses, training, grants etc for clubs and athletes.
We have an annual affiliation that renews on 1st April each year but some take a few weeks to pay us and in addition we have a few clubs that join us part way through the year. I am struggling to work out how to set the expiry dates for all the subscribers to 1st April no matter when they join the organisation. I have followed the online help videos but it is just not apparent to me or not sinking in when I see it. Anyone else worked this one out?
Hi,
Thanks for your post. As you will have seen the Membership system has a lot of flexibility to accommodate the wide variety of requirements we get from our customers - and we know this can be a little intimidating for new users... ? however, you needs can be met as follows:
In Setup > Membership Setup, set your Membership Year-End to 31-Mar-20XX (the membership system can have has a different year-end to your financial year-end). Whilst you are there, you might want to select your default Member view to Organisation List:
When defining your Membership(s) you should select the Annual Billing Cycle.
For the 1st Period Billing choose between:
- Full Membership Year (not pro-rated, ie. full annual fee is charged if member org joins at any time during your Membership Year - set above)
or
- Prorate 1st Period (First year fee will be prorated to nearest month if they join part way through the Membership Year.
(In all cases you will be able to manually adjust the amounts on each member orgs' payment plan once the membership has been assigned)
I hope this helps!
