[Solved] How do I manage my Memberships where I have many different activities during the year?

In cases where your organisation runs many different activities during your year it may be impractical to set these all up as individual Membership records in the system.  If you just want want to manage member fees and balances due then you should consider defining just a few 'generic' Memberships and (mass) apply these as required:

 

Defining Memberships 

  • You could consider setting up genericMembership' records to broadly represent your activities - how many you define might be determined by, say, frequency - so you could have just 3 x Memberships representing ‘Weekly’, ‘Monthly’ and ‘One-Time’ (adhoc) billing cycles.
  • Also, you may want to consider the fees. If you have many memberships with the same fee and frequency you may want to create a separate Membership record for these. If the fees are different for each activity then define your Memberships with Custom billing fees (you will then enter the fee each time you assign or renew these Memberships).

Assigning Memberships

  • Use the Mass Membership Assignment feature to assign a Membership to one or more of your members in a single process. This process is very flexible and allows you to select only the appropriate members.
  • You can also assign Memberships individually, if required.

Billing Renewals

  • If you have regular, recurring memberships you should use this feature automatically mass generate your renewals. This can be  applied to all billing cycles: weekly; monthly; annual, etc..

Member Balances

  • Once you have assigned/renewed your memberships the system will generate a Payment Plan for each member and allow you to report payments due, payments received, and overall balance due for each member. This is effectively your ‘debtor account’.
  • Use the Billing Schedules view (Members & Billing > Billing Schedules sub-tab) to view individual member ‘running balances’.

Recording Membership Payment Receipts

  • Finally, when you record or import your Member payments you will match these to the appropriate Member and Membership Assignment AND the specific Event record. This will update both the membership balances and your accounting balances using the Event.
