How Do I Manage Weekly Subs in Membership?

A number of customers have asked how to manage their memberships where they run on a Weekly cycle. For instance, a Scout group may only charge its members for each weekly session they attend. 

  1. Create your Membership(s) using a Weekly billing cycle. The Fee will be the weekly subs.
  2. Use the Mass Membership Assignment to add the new membership(s) to all your Members. Start Date should equal the earliest date you want to start recording these from. This will create your first week's Payment Plans for each Member. 
  3. Record the week's subs receipts for each attending Member either manually or via transaction import.
  4. If a Member does not attend this week you can cancel the billing line in their Payment Plan.
  5. For the following week, use Billing Renewals to generate next week's subscription renewals. Review your Draft Renewal Lines and cancel individual Members' renewal lines if they are not coming this week. (you can also do this later from each Member's Payment Plan).
    • Tip: Set your Renewal Cycle to Weekly if you want the generate each week independently. If you leave as Monthly, the Billing Renewal process with generate 4 (or 5) Weeks for the selected month at the same time.
      (Setup > Membership  Setup)
  6. Release All Billing Lines
  7. Repeat steps 3-6 for each week.
