Getting a message to your members usually starts the same way. Export the membership list, open your own email account, paste in a column of addresses, and hope you\u2019ve got the right people \u2014 and that nobody who left last year is still on it.<\/p>\n\n\n\n

Then somebody replies to all. Somebody else says they never got it, and there\u2019s no way to check. And the next time you need to do it, you start again from the export.<\/p>\n\n\n\n

Member Messaging<\/strong> brings the whole job inside Clubtreasurer. You write your message, choose who gets it from the membership records you already keep, test it on yourself, and send. Every send is recorded, so when somebody asks whether they were told, you can answer.<\/p>\n\n\n\n

Your messages are kept, not retyped<\/h2>\n\n\n\n

Messages live in a Library<\/strong>. Each one has a short name for your own reference, the subject line members will actually see, and a category to group similar messages \u2014 AGM, Renewals, Newsletter, whatever suits your club.<\/p>\n\n\n\n

Next year\u2019s AGM notice starts as a copy of this year\u2019s, rather than a blank page and a vague memory of what you said last time.<\/p>\n\n\n\n

The editor handles formatting, bullets, links and images as you\u2019d expect. You can attach a file up to 5 MB \u2014 a PDF agenda, a spreadsheet of fixtures, a photo from the presentation evening \u2014 and remove it again before you send.<\/p>\n\n\n\n

Every member gets their own version<\/h2>\n\n\n\n

Type {memberFirstName}<\/strong> anywhere in your message and each member receives their own copy with their own name in it. So \u201cHi {memberFirstName},\u201d arrives as \u201cHi Sarah,\u201d \u2014 and as \u201cHi David,\u201d for David.<\/p>\n\n\n\n

There\u2019s {memberFullName}<\/strong> for their full name and {orgName}<\/strong> for your organisation\u2019s. Use them as often as you like, anywhere in the message.<\/p>\n\n\n\n

It reads like an email from a person rather than a circular, which is largely what decides whether it gets read at all.<\/p>\n\n\n\n

Pick recipients from the records you already keep<\/h2>\n\n\n\n

There\u2019s no separate mailing list to maintain, and nothing to keep in step with your membership. You choose recipients directly from your members.<\/p>\n\n\n\n

Narrow the list by status<\/strong>, section<\/strong>, membership type<\/strong>, or how recently a membership was active \u2014 then tick the people you want. Just the juniors, just this season\u2019s renewals, just the committee, or everybody.<\/p>\n\n\n\n

A Past Recipients<\/strong> filter handles follow-ups: send your first wave, then set it to exclude anyone who already received the message and only the people you haven\u2019t reached appear. A running count shows exactly how many members you\u2019re about to email.<\/p>\n\n\n\n

Test it on yourself first<\/h2>\n\n\n\n

Test mode<\/strong> is switched on every time you open the send page, and it\u2019s worth leaving it on until you\u2019re genuinely ready.<\/p>\n\n\n\n

With it on, sending delivers one email to your own address instead of to your members. It arrives with a clear TEST MESSAGE<\/strong> banner, so you can check the layout, the formatting and the personalisation exactly as a member will see it. Turn it off and send again when you\u2019re happy.<\/p>\n\n\n\n

Worth doing after every change to the wording, not just the first time \u2014 it\u2019s the only way to catch a mistyped merge token, and the difference between \u201cHi Sarah,\u201d and \u201cHi ,\u201d is a single character in the message body.<\/p>\n\n\n\n

A record of who received what<\/h2>\n\n\n\n

Send History<\/strong> lists every member who received each message, with the address it went to, the date and time, and which admin sent it. There\u2019s a search box for finding one member quickly.<\/p>\n\n\n\n

When somebody says they never got the AGM notice, this is where you look. The Library also shows when each message was last sent, so you can see at a glance what\u2019s gone out recently \u2014 useful when two committee members both think the other one sent it.<\/p>\n\n\n\n

Unsubscribes are handled for you<\/h2>\n\n\n\n

Every message carries an unsubscribe link automatically. You don\u2019t add anything, and you don\u2019t maintain a list.<\/p>\n\n\n\n

If a member opts out they\u2019re marked in your member list and left out of future sends. Tick them anyway and the system quietly excludes them, then tells you how many were skipped, so the numbers always add up. Members with no email address on file are treated the same way.<\/p>\n\n\n\n

Unsubscribing only stops general member messages. Invoices, statements and renewal reminders still reach them, because those are part of their membership rather than club news. A member who changes their mind can re-subscribe from the same link.<\/p>\n\n\n\n

Send from your own domain<\/h2>\n\n\n\n

By default your emails go out from a Clubtreasurer address showing your organisation\u2019s name. If your club has its own domain, you can now have them sent from your own address instead \u2014 secretary@yourclub.org<\/strong> rather than ours.<\/p>\n\n\n\n

Members recognise the address, replies come back to somewhere you already check, and a properly authenticated domain stands a better chance of reaching the inbox rather than the junk folder. You can even use one address for member messages and another for invoices and statements.<\/p>\n\n\n\n

We set this up for you \u2014 email support@clubtreasurer.com<\/a> with the address you\u2019d like and we\u2019ll send a short list of DNS records for whoever looks after your domain to add. Until it\u2019s verified everything carries on going out from the standard address, so there\u2019s no risk to your sending while it\u2019s being arranged.<\/p>\n\n\n\n

Where to find it<\/h2>\n\n\n\n

Head to Membership > Messages<\/em>. You\u2019ll need a Membership User<\/strong> or Manager<\/strong> role \u2014 if the menu isn\u2019t showing, your organisation\u2019s primary contact can confirm your access.<\/p>\n\n\n\n
