Whether you have ten years of meticulously labeled spreadsheets or just a closing balance from a crumpled bank statement, we have a way to get that data into the system.<\/p>\n\n\n\n

Here are the three most common strategies for handling your club’s historical data.<\/p>\n\n\n\n

\n\n\n\n

Option A: The “Full History” Approach (Detailed)<\/h3>\n\n\n\n

Best for:<\/strong> Treasurers who want every single past transaction searchable and visible within Clubtreasurer.<\/p>\n\n\n\n

If you need to know exactly who paid for what three years ago, this is your path. It requires the most prep work, but it offers the most powerful reporting.<\/p>\n\n\n\n

The Game Plan:<\/strong><\/p>\n\n\n\n

  1. Prep your CSV:<\/strong> You\u2019ll need a file with at least the Date, Description, and Amount<\/strong> for every transaction.<\/li>\n\n\n\n
  2. Unlock the Past:<\/strong> Go to Setup > Organisation<\/code> and temporarily set your Financial Year-End to an older date. This prevents the system from “age-locking” the records you’re about to import.<\/li>\n\n\n\n
  3. Align the Starting Line:<\/strong> Set up your Bank and Cash accounts with opening balances that reflect the day before<\/em> your oldest import.<\/li>\n\n\n\n
  4. Categorize:<\/strong> Ensure your Cost Codes<\/strong> are ready so the import can slot each transaction into the right bucket (e.g., “Equipment” or “Membership Fees”).<\/li>\n<\/ol>\n\n\n\n
    \n\n\n\n

    Option B: The “Summary” Approach (Aggregated)<\/h3>\n\n\n\n

    Best for:<\/strong> Clubs that want a financial summary (Income vs. Expenditure) for previous years without the clutter of every individual receipt.<\/p>\n\n\n\n

    Think of this as the “Highlight Reel.” You aren’t importing 500 transactions; you’re importing the totals<\/em> for each category.<\/p>\n\n\n\n

    The Game Plan:<\/strong><\/p>\n\n\n\n

    • The Starting Balance:<\/strong> Enter your bank opening balance as it stood on December 31st of the year prior<\/em> to your summary.<\/li>\n\n\n\n
    • The Big Entry:<\/strong> Create a single “Receipt” or “Payment” transaction for each Cost Code, dated December 31st of the summary year. For example, one entry for “Total 2024 Bar Sales.”<\/li>\n\n\n\n
    • The Result:<\/strong> Your current year\u2019s opening balances will be spot-on, and you\u2019ll still be able to run Year-on-Year P&L reports.<\/li>\n<\/ul>\n\n\n\n

      Option C: The “Clean Start” (Fresh Beginning)<\/h3>\n\n\n\n

      Best for:<\/strong> New clubs or organisations that don’t need to look back.<\/p>\n\n\n\n

      If you have your old records filed away elsewhere and just want to start using Clubtreasurer from today<\/em> (or the start of this month), choose this. It\u2019s the fastest way to get up and running.<\/p>\n\n\n\n

      The Game Plan:<\/strong><\/p>\n\n\n\n

      1. Grab your most recent bank statement.<\/li>\n\n\n\n
      2. Enter the Account Opening Balances<\/strong> as of the day before you start using the software (e.g., Dec 31st for a Jan 1st start).<\/li>\n\n\n\n
      3. That’s it. You’re ready to record your first new transaction!<\/li>\n<\/ol>\n\n\n\n
