Clubtreasurer will increase (or &#8216;<em>credit&#8217;)&nbsp;<\/em>the selected Account balance for receipt amounts, and decrease (&#8216;debit&#8217;) for payments, once saved.<br><em>Premium users can add additional&nbsp;Accounts as required (See <strong>Accounts<\/strong>)<\/em> <\/li>\n<\/ul>\n<\/li>\n<\/ul>\n\n\n\n<ul class=\"wp-block-list\">\n<li><em>Clubtreasurer also has 3 special Account types:<\/em>\n<ul class=\"wp-block-list\">\n<li>&#8220;<strong>*DEBTORS<\/strong>&#8221; account types are used to record cash owed to your organisation, ie. not yet received. <em>Note that in strict income and expenditure accounting, you only record ACTUAL cash receipts in your accounts; however, using the *DEBTORS account will let you record ALL receipt transactions for a particular event\/project\/activity and allow you to report your expected surpluses\/deficits (profits\/losses). Clubtreasurer will keep a running balance for *DEBTORS which you can enquire and report on.<\/em><\/li>\n\n\n\n<li>&#8220;<strong>*CREDITORS<\/strong>&#8221; account types are similar to Debtors but used for recording cash payments <em>due<\/em> by your organisation.<\/li>\n\n\n\n<li>&#8220;<strong>*CONTRA<\/strong>&#8220;. The *CONTRA account is used to offset receipts against payments for the same person or organisation. An example could be Mr.Clarke purchasing raffle tickets for the Sport&#8217;s Club Annual Dinner for \u00a310. &nbsp;He also recently submitted \u00a310 personal expenses claim incurred for helping to organise the Charity Fun Run. As Treasurer you could account for both of these transactions as separate receipts and payments out of your bank or cash accounts &#8211; but a more efficient method is to record both the raffle ticket <em>receipt<\/em> and the fun run expenses <em>payment<\/em> against the *CONTRA account. In this situation there is no physical receipt or payment of cash as the amounts offset each other.<em> The golden rule for *CONTRA receipt transactions is that the balance must always be zero.<\/em><\/li>\n<\/ul>\n<\/li>\n<\/ul>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>Pay-In or Payment Type\/No:<\/strong>\n<ul class=\"wp-block-list\">\n<li>For <strong>cash <\/strong>or <strong>cheques <\/strong>that you will be depositing into\/paying from your bank\/building society accounts, enter the Paying-In or Deposit Book number &#8211; you will use this later when reconciling your receipts with your bank statement.<\/li>\n\n\n\n<li>For other bank or building society direct receipts\/payments, such as <strong>bank giro credits<\/strong> or <strong>interest received<\/strong>, select the appropriate QuickPick options: &#8216;<strong>BGC<\/strong>&#8216; or &#8216;<strong>INT<\/strong>&#8216;<\/li>\n\n\n\n<li>For cash receipts\/payments (eg. general, petty cash, floats, etc..), select the <strong>CASH<\/strong> QuickPick<\/li>\n<\/ul>\n<\/li>\n\n\n\n<li><strong>Voucher\/Invoice No<\/strong>.:\n<ul class=\"wp-block-list\">\n<li>Enter the voucher or invoice number<\/li>\n<\/ul>\n<\/li>\n<\/ul>\n\n\n\n<hr class=\"wp-block-separator has-alpha-channel-opacity\"\/>\n\n\n\n<h4 class=\"wp-block-heading\">3. Subscription receipt)<\/li>\n<\/ul>\n<\/li>\n\n\n\n<li><strong>Membership Billing Line<\/strong> (Optional Membership feature)\n<ul class=\"wp-block-list\">\n<li>Select the Membership Billing Line to record this transaction against. <\/li>\n<\/ul>\n<\/li>\n\n\n\n<li><strong>Amount <\/strong>(required)<strong>:<\/strong>\n<ul class=\"wp-block-list\">\n<li>Enter a value for this Transaction Line.<\/li>\n\n\n\n<li><span style=\"color: #ff0000;\"><strong><em>Important, in most cases you will always enter Receipts&nbsp;<u>AND<\/u>&nbsp;Payments as positive amounts (i.e. greater than zero). Clubtreasurer will correctly manage the accounting for both receipt and payment transactions for you.<\/em><\/strong><\/span><em><br>Sometimes, however, you may need to enter&nbsp;<strong>negative<\/strong>&nbsp;amounts to record, for example, a &#8216;Sales refund&#8217; or &#8216;Purchase credit&#8217; which would create negative Receipt and Payment records, respectively.<\/em> <\/li>\n<\/ul>\n<\/li>\n\n\n\n<li><strong>Note<\/strong>\n<ul class=\"wp-block-list\">\n<li>Enter notes or comments for this Transaction Line <\/li>\n<\/ul>\n<\/li>\n<\/ul>\n\n\n\n<hr class=\"wp-block-separator has-alpha-channel-opacity\"\/>\n\n\n\n<h4 class=\"wp-block-heading\">4. Save your Receipt\/Payment Transaction &gt;<\/h4>\n\n\n\n<p>When you are ready to save your Transaction Line, click the &#8220;<strong style=\"font-size: 1rem;\">Save<\/strong><span style=\"font-size: 1rem;\">&#8221; button. This is useful if you want to split out, say, a large cash receipt\/payment for an organisation Event into separate lines, but record the <em>overall<\/em> Receipt\/Payment as a single transaction for banking purposes.<\/p>\n\n\n\n<p>To add additional Transaction Lines click the <span class=\"has-inline-color has-neve-link-color-color\"><strong><strong>&#8220;Save and Add New&#8221;<\/strong><em><strong> <\/strong><\/em><strong>(or<\/strong><em><strong> <\/strong><\/em>&#8220;Add New Line&#8221;)<\/strong> <\/span>button in the <strong>Add\/Edit Transaction Line<\/strong> region.<\/p>\n\n\n\n<p>You can use the <strong>Comments<\/strong> box to record what each individual Transaction Line is for.<\/p>\n\n\n\n<p class=\"has-background\" style=\"background-color:#fffb02\"><strong>It is important to remember that all Transaction Lines entered in a Receipt\/Payment batch will share the same Receipt\/Payment <span style=\"text-decoration: underline;\">Header <\/span> (i.e. Details, Account, Date, Pay-in\/Payment No. and Invoice No.)<\/strong><br><br><strong>Also, your <span style=\"text-decoration: underline;\">Bank Reconciliation<\/span> will show the total net value of the Receipt\/Payment batch, not the individual lines<\/strong>.<br><br><em><strong>If you need to create <span style=\"text-decoration: underline;\">separate<\/span> Header details for your transactions, simply create a new Receipt\/Payment record by clicking the <span class=\"has-inline-color has-neve-link-hover-color-color\">New Receipt\/Payment<\/span>&nbsp;button (top of the page).<\/strong><\/em><\/p>\n\n\n\n<hr class=\"wp-block-separator has-css-opacity is-style-wide\"\/>\n\n\n\n<h3 class=\"wp-block-heading\"><strong>Combining Receipt and Payment Lines in a Receipt\/Payment Batch<\/strong>  <\/h3>\n\n\n\n<p>You can also <strong>combine&nbsp;Receipt and Payment Transaction Lines<\/strong> in a Receipt\/Payment batch. This can be useful, for instance, if you need to enter a receipt which also has transaction charges.<\/p>\n\n\n\n<p><em>For example, you may use an online payment service for receiving membership fees from your members. The online payment service will deduct a transaction fee for each payment fee received. You will therefore need to record the member payment as two lines:<\/em><\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><em>Member&#8217;s payment (as a <span style=\"text-decoration: underline;\">Receipt<\/span> Transaction Line)<\/em><\/li>\n\n\n\n<li><em>Payment service transaction fee (as a <span style=\"text-decoration: underline;\">Payment<\/span> Transaction Line)<\/em><\/li>\n<\/ul>\n\n\n\n<p>Clubtreasurer allows you to enter both of these Transaction Lines into a single Receipt\/Payment record and show the overall net transaction value.<\/p>\n\n\n\n<p>You create a new Receipt\/Payment line by clicking the&nbsp;<strong>Add New Line&nbsp;<\/strong>button and entering your new transaction line details. (To help you, Clubtreasurer will copy the previous&nbsp;<strong>Event&nbsp;<\/strong>and&nbsp;<strong>Fund&nbsp;<\/strong>fields across which you can change if&nbsp;necessary).&nbsp;You can add any number of Transaction Lines.<\/p>\n\n\n\n<p><em>Tip: If you know that you will be creating additional Transaction Lines, you can click the&nbsp;<strong>Save and Add New Button<\/strong>&nbsp;when saving. This is useful if you have regular or repeating transactions and means you no longer have to enter all the details each time.<\/li>\n\n\n\n<li><b>Reverse&nbsp;<\/b>button &#8211; this allows you to quickly create a reverse copy of an existing Receipt\/Payment including all Transaction Lines. The reversed transaction will mirror the original expect the value(s) will be reversed. This is useful if you want to create a reversing entry for an accrual (see&nbsp;<a href=\"https:\/\/clubtreasurer.maxapex.net\/blog\/?page_id=871\" data-type=\"page\" data-id=\"871\">Accruals &amp; Prepayments<\/a>)&nbsp;or as an alternative way to delete a transaction whilst keeping an audit trail of the transactions.<\/li>\n<\/ul>\n\n\n\n<hr class=\"wp-block-separator has-css-opacity is-style-wide\"\/>\n\n\n\n<h2 class=\"wp-block-heading\">How to Copy a Receipt\/Payment<\/h2>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Navigate to <strong>Receipts &amp; Payments&nbsp;<\/strong>tab<\/li>\n\n\n\n<li>Open the Receipt\/Payment you want to copy (click <strong>View<\/strong> icon or <strong>Details <\/strong>link)<\/li>\n\n\n\n<li>Click the <b>Copy <\/b>button<\/li>\n\n\n\n<li>A new duplicate Receipt\/Payment record will be created and displayed (Note this will be dated at <b>today&#8217;s date&nbsp;<\/b>and will be <strong>Un<\/strong><strong>r<\/strong><b style=\"font-size: 1rem;\">econciled.<\/b> You can change the date&nbsp;and any other details as required)<\/li>\n\n\n\n<li>Age-Locked or Reconciled Receipts\/Payments can be copied.
