You can make the following changes:<\/strong><\/h4>\n\n\n\n\n- Rename <\/strong>Parent Codes and Cost Codes<\/li>\n\n\n\n
- Renumber <\/strong>Parents and Cost Codes (ie. change display\/report order)<\/li>\n\n\n\n
- Add <\/strong>new Parent Codes* and Cost Codes* <\/li>\n\n\n\n
- Re-Parent<\/strong> Cost Codes* (move them to a different position in the hierarchy – only if they have no transactions recorded in prior-years)<\/li>\n\n\n\n
- Delete <\/strong>Parent Codes* (only if they have no “child” Cost Codes)<\/li>\n\n\n\n
- Delete <\/strong>Cost Codes* (only if they have no transactions recorded against them)<\/strong><\/li>\n\n\n\n
- Change Cost Code Effective Date Range<\/a><\/strong>* <\/strong>for Cost Codes (allows you to create different structures across financial years)<\/li>\n<\/ul>\n\n\n\n

\n\n\n\nCost Code Effective Date Range<\/h2>\n\n\n\n
Cost Codes can have optional effective Date From<\/strong> and Date To<\/strong> values which you can use to control which Cost Codes can be selected when creating new Receipt and Payment transactions.<\/p>\n\n\n\nWhen you enter a Receipt or Payment transaction it will only allow you to select Cost Codes whose date range covers the Transaction Date. For example, your Receipt Transaction Date is \u201c1-Jan-2019\u201d. The available Cost Codes in the select list will not include any whose Date To is set to \u201c31-Dec-2018\u201d (or earlier)<\/em><\/p>\n\n\n\nWhen Editing <\/strong>Cost Codes you can choose whether to view all Cost Codes or filter those for the current Financial Year only.<\/p>\n\n\n\nThis is useful if your organisation needs to change its Cost Code Structure<\/strong> when moving into a new Financial Year. Note that to preserve the integrity of your prior-year accounts, you cannot delete or change a Cost Code’s Parent if it has prior-year transactions charged to it. <\/p>\n\n\n\nBut what if you wanted to move your “Membership Fees<\/strong>” Cost Code to a different Parent Code in your new Financial Year, say from “Sales<\/em>” to “Other Income<\/em>“?
In this example you would: <\/p>\n\n\n\n\n- Set the existing “Membership Fee<\/strong>” Cost Code Date To<\/strong> to the end of your last Financial Year <\/em>to prevent it from being selected in the new Financial Year<\/li>\n\n\n\n
- Create a new<\/u> “Membership Fee<\/strong>” Cost Code under the “Other Income” Parent Code, and set its Date From<\/strong> to the first date of your new Financial Year. <\/li>\n<\/ol>\n\n\n\n
When you enter a Receipt or Payment transaction it will only allow you to select Cost Codes whose date range spans the Transaction Date.<\/p>\n\n\n\n
So, if your Receipt Transaction Date is \u201c01-Jan-2019<\/strong>\u201d, you will not<\/strong> be able to select Cost Codes whose: <\/p>\n\n\n\n\n- Date From<\/strong> is set to \u201c02-Jan-2019<\/strong>\u201d (or later) and\/or<\/li>\n\n\n\n
- Date To<\/strong> is set to \u201c31-Dec-2018<\/strong>\u201d (or earlier)<\/li>\n<\/ul>\n\n\n\n
